What changes when ServiceTitan exports to QuickBooks Online?
From ServiceTitan’s comparison page, updated October 15, 2026:
| What | QuickBooks Desktop | QuickBooks Online |
|---|---|---|
| Customer names | Name plus export ID, such as “Alex Rodriguez 24705” | Name only |
| Purchase orders | Bills only | One item, “Service Titan PO Item,” for the whole PO |
| Classes on POs | Exported from the business unit | Added by hand after export |
| Inventory | Multiple sites, such as each truck, with Advanced Inventory | One site |
| Vendor invoice number | Memo field | Not exported |
| Sales tax | Sent from ServiceTitan or calculated in QuickBooks | Sent from ServiceTitan only |
| Editing an exported invoice | Supported | Not supported |
| Export errors | Pop-up on the Accounting page | Pending Export Report |
Intuit adds that inventory “starts fresh on your migration date” and QuickBooks Online recalculates it “using FIFO from your migration date and records any adjustments.”
What do you do before converting the Desktop file?
1. Set the dates. Intuit’s page (updated November 5, 2026): “You have 90 days from when you sign up for QuickBooks Online to import your data. If your accountant is doing it for you, they have 180 days.” With Desktop payroll, Intuit says to run payroll, wait 2 to 3 business days, and finish the move at least 7 business days before the next payroll date.
2. Export everything that’s posted. Run the Web Connector, then open Reports > Legacy Reports, search for Pending Export, and run it for all business units. Every payment it lists will lose its invoice link.
3. Save the open invoice list with balances. These invoices’ payments may arrive unapplied.
4. Find name clashes before you strip numbers.
- Example: “Alex Rodriguez 24705” and “Alex Rodriguez 31188” would both become “Alex Rodriguez.”
- Rename one in ServiceTitan and make the same change in QuickBooks. ServiceTitan’s own example is “Mike Gonzalez (c)” and “Mike Gonzalez (v)” for a customer and a vendor.
- Check vendors and employees too. Error 6240, “The name supplied already exists,” sends you to search the customer, vendor and employee lists.
5. Strip the Sync IDs in QuickBooks Desktop. ServiceTitan’s fix: “Remove the Sync ID numbers at the end of the customer name in QuickBooks Desktop before you transfer to QuickBooks Online.” Customers are under Customers > Customer Center. Keep spacing identical to the ServiceTitan name.
6. Work through Intuit’s checklist. Update Desktop to the latest release, check the file size, verify and rebuild data, save a copy of the Sales Tax Liability report, and reconcile bank and credit card transactions. Our free QuickBooks Desktop to Online readiness checker tells you whether your file moves whole or needs condensing first.
How do you convert the file and reconnect ServiceTitan?
1. Convert. Open the company file as the admin.
- Pro Plus or Premier Plus: Company > Move to QuickBooks Online > Export Your Company File to QuickBooks Online.
- Enterprise Accountant: Company > Migrate to QuickBooks Online. If it’s missing, Intuit says to press Ctrl+1, then Ctrl+B+Q, and select OK.
- Select Get started and sign in. Choose Bring all of your company data or Bring only lists and balances with your accountant.
- If the Online company already has data, the tool asks to replace it. Intuit warns: “You can’t undo this.”
- The email “Your company is now online” means it’s finished.
2. Check how jobs came across. Intuit says: “Jobs with no sub-jobs become Projects... All other jobs become sub-customers.” To have ServiceTitan export locations as sub-customers in Online, ask ServiceTitan Technical Support; it needs account configuration.
3. Have ServiceTitan switch your account. ServiceTitan’s FAQ says to contact your Customer Success Manager to activate QuickBooks Online sync after switching from Desktop. You must have admin privileges when you do.
4. Connect each business unit. Go to Settings > Integrations > QuickBooks Online, find the business unit, select Connect, and sign in to QuickBooks Online.
5. Set up QuickBooks Online for the export.
- For Touchless Integration, GL account names must be identical in both systems.
- Don’t use or deactivate Accounts Receivable and Undeposited Funds; ServiceTitan uses them as defaults.
- If you export purchase orders, create a service item named Service Titan PO Item under Products and Services > New > Service.
- Link a QuickBooks item to each tax zone under Settings > Tax Zones in ServiceTitan.
6. Stop the Web Connector after the last Desktop export, so nothing posts to the old file.
How do you check the switch worked?
1. Export one small batch first. A “Throttle Exception” means the batch has too many invoices; ServiceTitan says to split it into batches of 3 or 4.
2. Read the Pending Export Report. Run it with Show Only Errors. Errors appear in the Export ID column.
3. Look for new duplicate customers. Export the Customer Contact List from QuickBooks Online and run it through our free duplicate customer finder, which groups likely duplicates by name, email and phone. For one that slipped through, ServiceTitan says to copy the name from the Display Name As field in QuickBooks (Sales > Customers, then Edit) and paste it into ServiceTitan.
4. Apply the stranded payments. Apply each payment on your saved list to its invoice in QuickBooks Online. Later payments apply on their own.
5. Tie out receivables. Accounts receivable in QuickBooks Online should match Desktop at cutover once those payments are applied.
What breaks later, and ServiceTitan’s fix:
| Error | Cause | Fix |
|---|---|---|
| 6140 Duplicate Document Number | An invoice with that number is already in QuickBooks | If it’s the same invoice, use Set as Exported / Bypass QuickBooks on the Pending Export Report |
| 620 TxnID Cannot Be Linked | The invoice’s customer changed after export | Reassign the QuickBooks invoice to the exact ServiceTitan customer name |
| 610 Object Not Found | An exported invoice was deleted and re-entered | Bypass the payment and enter it by hand |
| 6200 Account Period Closed | The QuickBooks closing date blocks the posting date | Settings > Account and settings > Advanced, then Edit in the Accounting section and change the closing date |
Don’t delete and re-key converted invoices. That is what triggers error 610 on the payments that follow.
Who should run the cutover?
| Option | Good for | Watch for |
|---|---|---|
| Do it yourself with ServiceTitan’s and Intuit’s steps | A small customer list with few name clashes | Stripping numbers by hand on thousands of names |
| Your bookkeeper or a QuickBooks ProAdvisor | The conversion and the receivables tie-out | Whether they know how ServiceTitan names and links records |
| ServiceTitan support and your Customer Success Manager | Switching the account and sub-customer setup | They configure ServiceTitan, not your QuickBooks file |
| Bring in an outside team (Fixes & connections) | Large lists, several business units, a fixed payroll date | Needs admin access to both systems and a dated cutover |

FAQ
Do I still need the Web Connector after switching? No. ServiceTitan says QuickBooks Online uses a cloud-based integration, and the Web Connector is only for Desktop.
Can I strip the Sync IDs after converting instead? ServiceTitan’s fix is to remove them in Desktop before the transfer. That way the converted names already match what ServiceTitan exports.
Will old invoices I edit in ServiceTitan update in QuickBooks Online? No. ServiceTitan lists editing exported invoices as Desktop only, so make corrections in both systems.
Can I switch back to Desktop later? Yes. ServiceTitan documents the reverse move with the Web Connector, and the same payment issue applies after the first transfer.
