Claude QuickBooks Desktop connector: what works and what’s safe

Intuit’s QuickBooks connector for Claude works with QuickBooks Online and Intuit Enterprise Suite, for US customers only; its help page (updated October 28, 2026) lists no Desktop product. For Desktop or Desktop Enterprise books, export reports to Claude, use Claude for Excel on the export, or run a third-party gateway to your company file.

How do you get answers from exported reports?

  1. Open the report, such as Profit & Loss, A/R Aging Summary or Sales by Customer Summary, and set the dates.
  2. Export it as CSV. Select the Excel dropdown at the top of the report, then Create New Worksheet. In the Send Report to Excel window, choose the CSV file option and select Export.
  3. Export lists if needed. In the Customer Center or Vendor Center, the Excel dropdown exports the list or its transactions as CSV.
  4. Upload to Claude. A chat takes up to 20 files, each up to 500 MB. Uploading .xlsx files needs code execution and file creation turned on; CSV files don’t.
  5. Ask one question at a time, and ask Claude to show the rows behind each answer.

Exports can include customer addresses and other personal details. On Free, Pro and Max plans, check the Model Improvement setting in Claude’s privacy settings before you upload, and set the rules with a one-page AI use policy.

How does Claude for Excel help with Desktop data?

It answers inside the workbook, with cell-level citations you can click.

  1. Open your export in Excel. Use the CSV from the steps above.
  2. Install the add-in. Find Claude for Microsoft 365 on Microsoft AppSource, select Get it now, then open it from Home > Add-ins on Windows and sign in.
  3. Review every change. Claude asks you to confirm risky operations before they run.

Anthropic warns that files from outside sources can carry hidden instructions, and doesn’t recommend the add-in for regulated data without proper controls.

What does a live connection to QuickBooks Desktop take?

Your company file sits on your own computer or server. Claude’s custom connectors connect from Anthropic’s cloud, and Anthropic says servers “behind a VPN, or blocked by a firewall won’t connect,” so you need software that relays the data to a service Claude can reach.

CData’s Connect AI guide lists:

  • A gateway app on the QuickBooks computer, approved in QuickBooks, with the right company file open.
  • A dedicated, always-on Windows session, since several users running QuickBooks on one machine can confuse the connection.
  • A separate Linux machine running Docker with outbound access to CData’s servers.
  • A Connect AI account, which Claude uses as a custom connector.

Pro and Max users add it in Claude under Customize > Connectors, then + Add and Add custom connector. On Team and Enterprise, an Owner or Primary Owner adds it under Organization settings > Connectors.

How do you keep a live connection read-only?

Set it in the gateway: every QuickBooks permission choice lets the app read and modify company data.

  1. Answer the QuickBooks prompt with care. Choose Yes, whenever my QuickBooks company file is open over Yes, always allow access; even when my QuickBooks isn’t running, and leave Access personal information unchecked.
  2. Make the gateway user read-only. In CData’s gateway, set the user’s Data Access to Read Only on the Users tab. In Connect AI, keep only SELECT on the Permissions tab and remove INSERT, UPDATE and DELETE.
  3. Limit tools in Claude. Anthropic advises turning off tools a conversation doesn’t need and choosing Allow always only for a server and tool you trust.
  4. Review who has access under Edit > Preferences > Integrated Applications > Company Preferences; select an app and Properties for details. Don’t allow any applications access to this company file blocks every app, Intuit’s included.

How do you check the answers are right?

  • Ask for a total you can see. Net income should match the bottom line of your exported Profit & Loss, and the receivables total should match the A/R Aging total.
  • Ask for the source rows and spot-check three in QuickBooks.
  • Re-ask after month-end. An unchanged answer after new entries means the export or connection is stale.
  • Match your accountant’s settings. Use the same date range and accounting basis, or the numbers won’t tie.

Example: ask “Which ten customers owe us the most, and how many days past due is each?” A good answer gives each amount and aging bucket, and the ten plus everyone else add up to the aging report total.

Before moving to QuickBooks Online for Intuit’s connector, run your file through the QuickBooks Desktop to Online readiness checker.
