What does QuickBooks Online do with an open estimate?
- It starts at Pending. Intuit says “the default status of a new estimate is ‘Pending’.”
- The customer can approve online. QuickBooks “automatically updates an estimate’s status if a customer accepts or declines it directly from their email.”
- Everything else leaves it at Pending. A yes by phone or text changes nothing until someone updates the status.
- Reminders are an invoice setting. Automatic reminders under Settings > Account and settings > Sales > Reminders go out “only for invoices you’ve already emailed.”
- Approval emails can be missed. An owner in Intuit’s community reports never getting one, so check the Estimates list instead.
How do you follow up on open estimates by hand?
1. Open the list. Go to All apps > Customer Hub > Estimates, sort by Status, and work the oldest Pending estimates first.
2. Fix the statuses you already know. In the Action column, select the dropdown, then Update status, choose Accepted or another status, and select OK. Intuit says “it’s better to change the estimate status to Declined rather than delete it.”
3. Pick who gets a message today. A starting schedule to adjust for your trade:
| Day after sending | To a general contractor | To an owner or homeowner |
|---|---|---|
| 2 | Confirm they have it and the scope matches the drawings | Ask whether they have questions on the options |
| 7 | Ask when they expect to award the job | Answer the question you hear most on this kind of job |
| 14 | Offer to walk the scope with your estimator | Offer a call with your estimator |
| 30 | Ask whether the job was awarded, and to whom | Ask what they decided, then close it out |
4. Write the follow-ups ahead with Schedule send. In Gmail, select the arrow next to Send, then Schedule send (up to 100 scheduled emails). In new Outlook and Outlook on the web, select the dropdown next to Send, then Schedule send; the message waits in Drafts. New Outlook doesn’t offer it for IMAP or POP accounts.
5. Check the thread before each scheduled message goes. It sends even if the customer answered yesterday. In Gmail, open Scheduled, open the email and select Cancel send.
6. Record the answer in QuickBooks. Update the status. To bill an accepted job, go to All apps > Sales & Get Paid > Sales transactions, find the estimate, and select Convert to invoice in the Action column. Intuit says “the estimate status must be Accepted” first.
7. Review every Friday. Go to Reports > Standard reports and run Estimates by Customer. It shows the customer, estimate number, status and the invoice number if converted, so an Accepted estimate with no invoice number is won work that hasn’t been billed.
For quotes to homeowners by text, the cadence and texting rules in missed calls and quote follow-up for home services carry over.
Does the Zapier template for pending estimates do the job?
Zapier’s template will “Send follow-up emails to clients after a specified delay when their estimates in QuickBooks Online remain pending.” It suits one fixed message per estimate, set up with these checks:
- Start from Estimate Emailed. Zapier’s QuickBooks Online app has New Estimate, Estimate Emailed and Updated Estimate triggers, and a saved estimate you never sent still counts as new.
- Look the estimate up again after the delay. Add a Find Estimate step after the Delay and filter on the status it returns.
- Plan for the 30-day limit. Zapier says “Tasks can be held for a maximum of one month (30 days).”
- Leave the Zap alone while runs are waiting. “If you change any part of your Zap during a delay, your Zap will not continue once the Zap resumes.”
- Check your plan. Delay is on Zapier’s Professional, Team and Enterprise plans, and not on Free.
- Keep statuses current. A customer who replied “we went with someone else” still gets the next email until the estimate is Declined.
What should make follow-up stop?
Before every send, something has to check:
- Status is Accepted or Declined. Stop.
- The estimate has been converted to an invoice. Stop.
- The customer replied with a question, a price push or “next month.” Pause and hand it to the estimator.
- An out-of-office reply came back. Hold until the return date.
- They asked not to be contacted. Stop, and note it on the customer.
- A revised estimate went out. Close the old one and restart the schedule on the new one.
- Thirty days of silence. Send a close-out message, then mark it Declined if nothing comes back.
What are your options?
| Option | Good for | Watch for |
|---|---|---|
| Do it yourself with the Estimates list and Schedule send | A handful of open estimates a week | Stops in busy weeks; scheduled emails still go after a reply |
| Zapier with the pending-estimate template | The same message to every open estimate | 30-day delay limit; reads QuickBooks status, never the inbox |
| QuickBooks Online Advanced workflows | Teams on Advanced or Intuit Enterprise Suite, which list “60+ workflow automation templates” under Settings > Manage workflows | Test whether a template fits your schedule before you rely on it |
| Hire an office assistant or freelancer | Calls to general contractors who don’t answer email | One person’s hours, and access to QuickBooks and the inbox |
| Bring in an outside team (AI workers) | Follow-up that reads replies and keeps QuickBooks statuses current | Who approves the messages, and what goes to your estimator |
What can an AI worker do, and what stays with your team?
| An AI worker can do | Keep with your team |
|---|---|
| Check every Pending estimate each morning and pick who is due a message | Changing price, scope or exclusions |
| Send follow-ups in the wording you approved for contractors and for owners | Answering technical questions about the work |
| Read replies in Gmail or Outlook and sort them: yes, no, question, later | Calls to your biggest general contractors |
| Update the estimate’s status in QuickBooks when the answer is clear | Deciding whether to rebid or walk away |
| Hold follow-ups for out-of-office replies and stop on any opt-out | Anything about retainage, bonding or contract terms |
| Hand each question to your estimator with the estimate and thread attached | Converting an estimate to an invoice and billing it |
For the first two weeks, have it draft and a person approve every message, and check each status it changed against the reply.
Operator is the AI worker we run. The quote and proposal follow-up page covers how it runs, and chasing overdue invoices in QuickBooks Online covers the same job once the work is billed.
FAQ
Can QuickBooks Online send automatic reminders for estimates? Its automatic reminders cover only invoices you’ve emailed. Estimates need a schedule you run yourself or a tool like Zapier.
Why is an approved estimate still Pending? QuickBooks updates it only when the customer responds from the email link. Any other yes needs Update status in the Estimates list.
Can I convert a declined estimate into an invoice? Not directly. Intuit says a rejected estimate must go back to Pending and be sent again for acceptance.
Should I delete estimates that went nowhere? Intuit recommends marking them Declined instead, so the record stays.
Where do I see which accepted estimates haven’t been billed? Run Estimates by Customer under Reports > Standard reports. An Accepted estimate with no invoice number hasn’t been converted.
