How do you calculate a tip pool by hours?
Divide the pool by the total hours worked, then multiply by each person’s hours.
Share = pool × (your hours ÷ everyone’s hours)
Example: a pool of 1,200 dollars and 60 hours on the shift pays 20 dollars an hour. A server who worked 6 hours gets 120 dollars.
The calculator splits card and cash tips separately and rounds to the cent so the shares add up to the pool exactly.
How does a weighted tip pool work?
Each role gets points, and each person’s weight is hours × points.
Share = pool × (your hours × your points) ÷ (everyone’s hours × points)
Example: a server works 6 hours at 10 points (60) and a busser works 5 hours at 5 points (25). A 425 dollar pool pays 5 dollars per point-hour: 300 dollars to the server and 125 dollars to the busser.
The points are your house policy. Equal points give the same result as a split by hours.
How do you calculate a server tip-out?
Multiply the base the house sets (net sales, alcohol sales or tips) by each support role’s percent.
Tip-out = base × percent
Example: a server with 2,000 dollars in net sales, 500 dollars in alcohol sales and 380 dollars in tips tips out 2% of net sales to bussers (40 dollars) and 10% of alcohol sales to bartenders (50 dollars). The server keeps 290 dollars.
Pick “Tip out” at step 1 to run every server’s checkout at once, with each role’s total.
Can managers or supervisors share in the tip pool?
Under federal law, managers and supervisors may not receive tips from a tip pool, whether or not you take a tip credit (29 CFR 531.52(b)(2) and 531.54).
- Who counts: anyone whose primary duty is managing, who directs the work of two or more full-time employees or the equivalent, and who can hire or fire or whose hiring advice is given particular weight (29 CFR 541.100(a)(2) to (4)).
- What they may keep: tips a customer gives them directly for service they alone provide.
- Contributing: you may require managers who earn tips to put some into the pool.
- Back of house: cooks and dishwashers may share only if you pay full minimum wage and take no tip credit.
Tick “Mgr” on a row and the calculator leaves that person out and says why. Federal rules checked November 7, 2026. State rules vary.
How do I get the hours out of Toast, Square or 7shifts?
- Toast: Reports > Labor > Labor summary, set a custom date range, then download Payroll Export under Employee Summary.
- Square or 7shifts: export the timecards or worked hours report as CSV and drop the file in.
- Excel or Google Sheets: copy the name, job and hours columns and paste them in.
Regular and overtime columns are added together, and several shifts for one person and job become one row. Hours written as 7:30 count as 7.5.
Questions
Is my data uploaded anywhere?
No. Everything runs in your browser. Your role points and tip-out rates are saved in this browser only, so the next shift starts where you left off.
When do pooled tips have to be paid out?
Federal rules say no later than the regular payday for the workweek the tips were collected (29 CFR 531.54(b)(2)). If the amounts are not known before payroll runs, pay them as soon as practicable after.
Is there a federal cap on how much a server can be asked to tip out?
The federal rule sets no maximum contribution percentage for a mandatory tip pool (29 CFR 531.54(a)). Some states set their own limits.
Can I take card processing fees out of tips first?
The Department of Labor says you may reduce a card tip by the card company’s fee percentage, and by no more (Fact Sheet #15). Take it out before you enter the card tips here.
