How AIMOCS collects, uses, shares, and protects personal data — on this website and across our engagements — and the rights you have over your information.

2. Scope of this policy

This policy explains how we handle personal data collected through aimocs.com, when you contact us, book a meeting, or otherwise engage with AIMOCS. It also explains, at a high level, how we handle data within client projects.

Where AIMOCS builds or operates software for a client, we typically act as a data processor on that client's behalf — the client is the controller, the data belongs to the client, and our handling of that data is governed by the written agreement with that client rather than by this website policy.

3. Information we collect

We collect only what we need. Depending on how you interact with us, this may include:

  • Information you give us — your name, email address, company, phone number, and the content of any message when you contact us, request information, or book a meeting.
  • Booking information — when you schedule a call, our third-party scheduling provider collects the details you submit to arrange the meeting.
  • Technical and usage data — collected automatically when you visit the site, such as IP address, browser and device type, pages viewed, and referring source.
  • Cookies and similar technologies — small files used to make the site work and to understand aggregate usage (see section 5).

4. How we use your information and our legal bases

We use personal data to respond to your enquiries, schedule and hold meetings, provide and improve our services and website, send you information you have requested, and meet our legal and accounting obligations.

Under the UK GDPR, we rely on the following legal bases: your consent (which you may withdraw at any time); our legitimate interests in operating and promoting our business in a way that respects your rights; the performance of a contract with you; and compliance with legal obligations. We do not sell your personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.

AIMOCS is based in the United Kingdom and serves clients in the United Kingdom, the Kingdom of Saudi Arabia, and the wider MENA region. As a result, personal data may be transferred to or accessed from countries outside your own.

Where we transfer personal data internationally, we use appropriate safeguards — such as transfers to countries with an adequacy decision, or contractual protections like standard contractual clauses. For Saudi engagements that require in-Kingdom data residency, project data is hosted inside Saudi Arabia in line with the relevant client agreement.

8. Data retention

We keep personal data only for as long as necessary for the purposes set out in this policy, including to meet legal, accounting, or reporting requirements. When data is no longer needed, we delete it or anonymise it. Retention periods for client-project data are defined in the relevant client agreement.

9. Your rights

Subject to the law that applies to you, you have rights over your personal data. Under the UK GDPR these include the right to access, correct, erase, restrict, or object to processing, the right to data portability, and the right to withdraw consent at any time. If you are in the United Kingdom and are not satisfied with our response, you may complain to the Information Commissioner's Office (ico.org.uk). If you are in the Kingdom of Saudi Arabia, the Personal Data Protection Law (PDPL) gives you comparable rights — including access, correction, deletion, and withdrawal of consent — and you may raise concerns with the Saudi Data & AI Authority (SDAIA).

10. Client and project data

When AIMOCS builds or runs software for a client, any personal data within that system is processed on the client's behalf and under the client's instructions. The client remains the owner and controller of that data; AIMOCS acts as a processor and handles the data only as agreed in writing. Clients can export their data and, on exit, receive a documented handover — we do not lock client data in.

11. Security

We apply technical and organisational measures appropriate to the risk — including encryption in transit, access controls, and the principle of least privilege — to protect personal data against loss, misuse, and unauthorised access. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to any incident.

12. Children

This website and our services are intended for businesses and professionals. They are not directed to children, and we do not knowingly collect personal data from anyone under 18.

13. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "last updated" date above. Material changes will be made clear on this page. Your continued use of the website after a change takes effect means you accept the updated policy.
